Track every SaaS tool your agency pays for by client, owner, and renewal date

Stop paying for tools from old projects, forgotten trials, unused seats, and annual renewals nobody owns. A team space for agencies of 2 to 20 people that do not want an enterprise procurement platform.

The agency problem

A tool opened for one campaign stays active. Client subscriptions get mixed with internal ones. Annual renewals surprise the team, nobody knows who owns each tool, and AI seats pile up quietly.

The renewal review queue

Everything renewing in the next 30, 60 or 90 days, undecided first. Tools tied to an ended client are flagged, and one click sets the decision the whole team sees.

How SubBuddy helps

1

Assign every subscription to an owner, so each renewal has one person who answers for it.

2

Tag tools by client or project. When a client ends, everything tied to it drops into the review queue.

3

Review renewals before they hit: the queue lists what renews in the next 30, 60, and 90 days, undecided rows first.

4

Mark each tool keep, cancel, downgrade, review, or rebill, then export a quarterly SaaS audit as CSV with totals per client.

What a team space adds

Team subscriptions live in their own space and never appear in anyone's personal list.
Owner, admins, and members: members add and edit tools, admins manage clients and decisions.
Spend by client, by owner, and by category, plus waste signals: unused seats, tools tied to ended clients, undecided renewals inside 14 days.
Renewal reminders go to the tool's owner, not to the whole team.

Example: a five-person design and marketing agency

Figma and Adobe under Ana, internal, keep. Webflow under Marc for Client X, review, since the site launched in March. Ahrefs under Alex, internal marketing, keep. Midjourney under Laura for Client Y, cancel, since the project ended. Vercel for Client Z, rebill. Slack, Notion, Loom, Calendly, Zapier, and ChatGPT Team as internal. The review queue holds the two undecided rows; the audit export shows what still belongs to ended work.

Frequently asked questions

How much does a team space cost?

Team Starter is $29 a month or $290 a year for up to 3 members and 75 subscriptions. Team is $79 a month or $790 a year for up to 10 members and unlimited subscriptions. Members do not need a paid personal plan, and there is no per-seat pricing.

Is there a free trial?

Yes. Every team space starts on a 14-day Team Starter trial with no card. When it ends, the space becomes read-only until you pick a plan. Nothing is deleted.

What happens to our data if SubBuddy shuts down?

You can export everything at any time: a CSV with every column, plus an ICS calendar of renewals that works in Google Calendar, Outlook, and Apple Calendar. Lifetime purchases (the personal Lifetime plan and AppSumo codes) cover the life of the product at the tier bought, with caps frozen at purchase. SubBuddy is small and self-funded; that is the honest answer.

Do you connect to our bank or company card?

No. Subscriptions are added by hand, from a CSV, or from Gmail receipts. Nobody hands over a bank login to track SaaS spend.

Is this for large procurement teams?

No. SubBuddy is for agencies and studios of 2 to 20 people. There is no SSO, SCIM, or approval workflow, and none is planned.
